Below are some of the most commonly asked questions in relation to minor works projects, and answers that will also give a greater insight into just how much goes into each and every project.

How long will it take?

This is a difficult one.  Each project is specific in its requirements, its extent, the details and the complexity of the work required. 
As examples, the works associated with offices differ significantly from those works for laboratory and the installation of air conditioning.

The following is an example of typical times for a $250,000 Office Refurbishment:

  • Briefing and Concept Design – 2-6 weeks
  • Ensuring project coordination within Facilities & Services division – 1-2 weeks
  • Assessment to the indicative order of costs of the project - 2-6 weeks.
  • Design and Development including:
    • The consideration of other Facilities and Services programmes
    • Establishing a revised indicative order of cost for the project
    • Developing a works programme and documentation
  • The tender process – 4-6 weeks

Other additional impacts on time, costs and construction during Minor Works are:

  • Building Commissioning – 2-6 weeks
  • Handover Checklist – 1-2 weeks
  • Relocation and Occupation – 1-2 weeks
  • Post Construction - Defects Liability phase – 12 months

How much will it cost?

Again, cost will vary with each different type of project and extent of work.
Unlike work you might have done at home, each university project has to comply with a large number of regulatory measures, occupation health and safety requirements and risk reduction measures.  The university also has standardised systems and equipment that need to be met.

Indicative costs are established in the early stages of the project, which are firmed up once documentation, has gone out to competitive pricing.

How can I fast track my project?

If a client wishers to fast track their project, the client should raise this formally with Facilities & Services.  Facilities & Services will endeavour to meet all reasonable request for a shortened time frame.

Facilities & Services have formalised policies and procedures which govern how Minor Works Projects are delivered.  This ensures compliance with statutory, health & safety and environmental responsibilities, compliance with Monash’s procurement requirements whilst maintaining consistency of Monash systems.

These policies and procedures are periodically reviewed incorporating a focus on streamlining the process and improvement strategies for our clients.

Can I manage my own project?

The reason that Facilities & Services impose management of Minor Works projects by our own staff is that we are the university appointed custodians of the buildings, grounds and infrastructure.

Facilities & Services are responsible for ensuring statutory, OHS and environmental compliance, along with maintaining standardised systems and uniformed finishes across the university.

Can I select the builder/contractors on my job?

All contractors that work at the university must be registered and have the appropriate business registration, a range of insurances, including public liability and specific trade certifications.

Contractors that are used on Minor Works projects are appointed after a competitive tendering process in accordance with Monash’s procurement requirements.  This process is where a number of contractors are invited to price the works.  The successful contractor is selected on a range of criteria including quality, price and ability and available skilled resources to meet the required time frame.
